I architected a medical-device company's entire commercial operation as a relational system inside ClickUp — then built a beautiful, responsive portal fully integrated with the ClickUp API, so the same data drives a completely custom experience. No second database. No migration.

The brief

A powerful workspace nobody could actually use.

The problem

The client's US commercial team ran on spreadsheets and email. The data that did live in ClickUp was dense and technical — leadership had no live reporting, reps hunted through fields to read an account, patient intake was routed by hand, and physicians had no way in at all.

The solution

Two moves. First, model everything as a clean, relational architecture in ClickUp — one source of truth. Then build a fast, branded portal on top of it, fully integrated with the ClickUp API, doing everything ClickUp can't: dashboards, public forms, automations and history.

01 · The foundation

I built the architecture in ClickUp.

Everything lives in one ClickUp Space. Folders separate the domains, each List is a table with a strict, typed schema, and the lists point at each other through relationship fields — a real relational database, built entirely in ClickUp.

02 · The portal

A custom front end, fully ClickUp-API integrated.

The portal stores nothing of its own. It reads and writes the same ClickUp workspace live via the API, then delivers what ClickUp can't: real dashboards, on-brand public forms, automations that route work, and history ClickUp never kept. Walk through it — the cursor signs in, opens an account, follows a transfer, and steps outside to the physicians' door.

The portal is the hub that connects ClickUp to the rest of the stack and runs the automations that keep it all moving — so the team lives in one system instead of six, and the busywork happens on its own. Every choice was made with the client's compliance team: self-hosted where required, vendor agreements where offered.
